Tela-PhoneX

Features, role by role

What every seat on your floor gets

Every feature below ships with the workspace, listed under the role that uses it. Each entry opens to explain how it works. Higher roles inherit everything below them: the owner also has every supervisor and collector feature, and supervisors have every collector feature.

Role one

Owner

The person who answers for the agency. Owners run the business side without calling us and without touching a database.

Your people: hiring and seats

Add a person with their name, role, and personal email. The workspace creates their login and shows you a one-time starter password made of two words and a number, easy to speak over the phone. Deactivating someone frees their seat instantly. Seat limits from your plan are enforced by the system itself, so billing and reality never drift apart.

Branding: your name on the door

Put your agency's name, logo, and accent color on every screen your staff and your clients see. You can also hide the small "powered by Tela-PhoneX" line. Collectors work in your brand, not ours.

Operating settings: your policies as defaults

Set your credit pull minimum, skip trace minimum, default settlement floor, record retention years, certification renewal period, dispute verification deadlines, your PO box, and your toll free number. The workspace enforces what you set, so policy is not a memo, it is how the buttons behave.

Vendor keys: bring your own accounts

Connect your own Twilio for calls and texts, your own Stripe for payments, your own email and letter vendors, and your skip trace and credit providers. Keys go into a sealed vault that even the app's screens cannot read back. A health table shows each connection's status, the vendor's own error message when something breaks, and what to do about it.

Billing and seats

Your subscription runs on a per-seat price. Open the billing portal to add seats, update cards, or download invoices, without emailing anyone.

Client management: consignment done right

Set up each consignment client with their own code, contingency fee tiers by account age, and verification deadlines. Every payment splits automatically into your fee and the client's remittance.

Audit export: the regulator button

Export the permanent activity log as a CSV for any date range: every call, note, flag, payment, import, and admin change, with who did it and when. Attach it to an audit response and get back to work.

Timesheets and productivity

Every collector's hours come from the built-in time clock: clock in, typed breaks with paid and unpaid handled correctly, clock out. Download the timesheet CSV for payroll, and see calls per hour worked, contact rate, promises kept, and dollars collected per collector, with no extra data entry by anyone.

Floor reports

Collected today and this month, per collector and for the floor, plus the leaderboard. You see the same numbers your supervisors coach from.

Role two

Supervisor

The coach on the floor. Supervisors see everything collectors see, plus the controls for quality, assignment, and escalation.

The Floor: who is on, right now

One tab shows every collector's live status: on a call, wrapping up, on a break, in training, or off the clock, with time in status, hours today and this week, talk time, and wrap time. Below it sit the productivity table, the skip trace requests waiting on your approval, and the append-only disposition trail. There is also a button that reads the floor summary out loud.

Monitor any queue and record

Open any collector's queue or any account record exactly as they see it, without signing in as them. Coaching happens on the real thing.

Reassign accounts

Move accounts between collectors one at a time or in batches, when someone is out, overloaded, or a portfolio needs a specialist.

Approve legal escalations

When a collector recommends legal, the account enters a pending state that only a supervisor or owner can approve. Nothing goes to legal on one person's judgment.

Skip trace requests

Order a skip trace on an account through your connected provider. The agency's minimum balance rule is enforced automatically, so trace spend stays where it pays.

Dispute and verification tracking

Every dispute shows its clock: when it opened, when seller verification is due, and when it escalates. Collection on the account stays frozen until verification lands, by the system, not by memory.

Complaint log

Record consumer, regulator, or attorney general complaints with response deadlines, the allegation, the action taken, and the resolution. When a pattern shows up, you see it early.

Import accounts from spreadsheets

Load new placements from any CSV. The importer guesses your columns, lets you correct the mapping, checks every row, imports the clean ones, and keeps the staging rows as a paper trail.

Role three

Collector

The seat that makes the money. Everything here is built for speed on the phone with the rules enforced underneath.

Your day on the clock

Clock in and the queue opens. Take a lunch, rest, or personal break and the workspace tracks it, paid or unpaid, and closes your queue while you are away. Forget to clock out and the system closes your shift after 45 idle minutes and says so, so no shift runs all night. Everything is spoken as it happens.

A ranked work queue

Accounts are ordered by likelihood to pay, with promises due today and scheduled callbacks surfacing at the top. Take the next account instead of choosing one.

The account record, one screen

Balance, original creditor, charge off date, every phone with its status, emails, addresses, returned mail flags, plan history, payments, and the account's full activity, all on one screen built for keyboard speed.

Dispositions that act on their own

Log the outcome and the workspace does the follow-up: wrong number marks the phone bad and requests a skip trace, a dispute freezes contact and starts the seller verification clock, a promise records the amount and lands in your queue the morning it is due, cease and desist stops every channel on the spot. You hear exactly what each outcome triggered, and every one writes a row to a ledger that can never be edited, only corrected on top.

Guardrails that remove the button

Calling windows follow the consumer's own time zone. Contact frequency caps count automatically. Cease requests, attorney representation, bankruptcy, and deceased flags freeze outreach. When contact is not allowed, the workspace does not warn you, it removes the option.

Time-barred accounts: settlement only

The workspace tracks each state's clock from the charge off date. Past the limit, the account drops to settlement-only handling with the right disclosure language, automatically.

Dispute freeze

The moment a dispute is logged, collection activity on that account locks until verification is provided. The freeze lifts itself when the paperwork lands.

Payments and plans

Take a one-time payment or build a weekly or monthly plan, with the authorization script on screen to read. Cards run through your agency's own processor and numbers are never stored in the workspace. Settlement floors, yours or the agency default, are enforced at entry.

Letters through your mail vendor

Request validation notices and letters through the agency's connected mail vendor, addressed from your agency, tracked on the account.

Spoken confirmations and voice mode

Turn on voice and the workspace speaks what matters: who is next, what was saved, what is blocked and why. Built for screen reader users and just as useful with your eyes on a second monitor.

Certification lock

When a collector's compliance certification lapses, their queue locks until renewal is recorded. It reopens the moment it is.

Your numbers

Collected today, collected this month, your monthly target, and your place on the floor leaderboard, always one glance away.

Role four

Your clients' portal

The seat you give away. Consignment clients get their own login, and the fewer status calls you take, the more your floor collects.

Their placements only

A client signs in and sees exactly the accounts they placed with you, and nothing else. The wall between clients is the database itself, not a filter.

Balances and progress

Current balances, statuses, and the activity on their accounts, readable without calling your office.

Payments and remittances

Every payment shows the split: your contingency fee and their remittance amount, computed from the tiers you set for them.

Every seat

Built into every role

A permanent audit log

Every consequential action lands in an append-only record that nobody, including us, can edit or delete from the app. That is what makes it worth something.

Sign-in without ceremony

Agency code, first name dot last name, password, and an optional authenticator code your password manager fills in for you. No codes texted to phones, nothing to read off another device.

Change your own password

Every person can change their password from the header of the workspace, any time, effective immediately.

Accessible from the first keystroke

Every screen works by keyboard and screen reader, with visible focus and spoken confirmations. This is not a mode. It is the product.

The standing promise

If a feature is not on this page, tell us and we add it

We are an AI-first company, and custom work that takes traditional vendors quarters takes us days. Your dispositions, your reports, your commission math, your workflow: describe how your shop runs, and we build Tela-PhoneX to your shape instead of squeezing you into someone else's limited box.
